The Project Coordinator position is a role that requires a flexible and energetic multi-tasker who is keen to support a fast-paced, busy team and to learn and develop project management skills. Your focus will primarily be on internal delivery, with some contact with clients and candidates and with a view of developing the skills required to be a successful Project Manager.

This role requires willingness to help and ability to anticipate support where it is required by the Project Management Team, as well as some wider support in the firm including front of house and other ad hoc duties. Although not solely responsible for a project portfolio, you will be involved in a range of tasks across a variety of high-level executive searches, supporting the project management teams across a number of practice groups (Social Impact & Environment; Research, Technology & Innovation; Schools; Global Higher Education; Boards; and Arts, Culture & Sports) as you develop your skills and capabilities as a Project Manager.

Key Responsibilities:

Project support

  • Have a full understanding of the executive search process and of the particular projects/clients of which you are supporting;
  • Full management of advertisement responses – including handling Equality and Diversity monitoring/metrics and letting down unsuccessful advertisement candidates;
  • Produce high quality soft copy versions of client paperwork; 
  • Proofing all internal and external communications and documentation, including but not limited to: appointment details, advertisements, proposal documents and process paperwork;
  • Liaise with partner media agency to request media schedules and advertisement placement, as well on design of appointment details;
  • Assist with purchasing, logging project costs, invoicing and expense reconciliation;
  • Support with the final interview process of projects – including assisting candidates in arranging travel and accommodation, arranging reference calls, and any additional candidate assessments;
  • Provide the Project Management Team with administrative support, including the production of consultant day files, pitch prep, paperwork for meetings etc;
  • Ensure that databases and electronic projects files are accurate and up-to-date;
  • Provide cover and support Front of House and Office Manager as needed, including Reception cover;
  • Ad hoc PA/secretarial/administration duties and additional responsibilities at the request of your line manager;
  • Arranging consultant travel and accommodation requirements as required.

Business Development:

  • Proactively providing business development support to the consulting team (drafting and sending emails, booking lunches, etc.);
  • Working alongside Project Managers to organise business development trips for consultants, as appropriate.
